Kanban has moved beyond the production floor to become a popular visual productivity method for a variety of teams in a variety of industries, from software to healthcare to legal practices. Similarly, Scrum, which originated with Lean for Agile software teams, is now used by everyone from industrial design to market researchers.

Kanban and Scrum concepts go beyond board structures: they are about changing ways of working and behavior in and around a team, including stakeholders, senior management, and so on.
What Is A Kanban Board: Definition, Methodology
It is possible to create a hybrid version of Kanban and Scrum, sometimes called Scrumban. In fact, there are many different versions of Scrum that combine different elements.
The two approaches are very similar, so you may not know whether you want to do Kanban, Scrum, or a hybrid of the two. We’ve created twelve steps to create your own visual project board.
Step 2 will ask you to decide if you’re doing Scrum, and if so, the process will be a bit different. Kanban does not integrate sprints, so the main difference is how work is scheduled.
An important aspect of both Kanban and Scrum is work visualization. It’s so easy to create a board structure and then modify it on the fly, so we’ll get you started building your vision board right away.
Lean Kanban Board: How Does It Differ From Other Agile Methods?
Both methodologies emphasize continuous process improvement. Such tools are very easy to modify and allow you to evolve your process with your team as you learn and grow.
All future work in Kanban goes into the “Democratic Record” column. Only the work you decide to move forward with will appear in the “Ready to Work” column. The Backlog column may or may not be sorted by priority, but the Ready to Run column will contain priority cards. This way, when the capacity is available, the team can pull the tab at the top in the “Doing” or “In Progress” column.
Depending on the situation, you’ll create cards that represent everything from tasks within a project to the entire project.
Kanban is suitable for any process-oriented team that follows relatively standard processes. These are some of the types of workgroups I’ve seen on Scrumban or Kanban boards: Features, Bugs, Legal Documents, Month-End Closings, Leads, Business Partners, New Hires (requires research), Locations (research), Contributions blogs, marketing campaigns, media companies (as part of a PR campaign). The possibilities are endless!
A Step By Step Guide To The Kanban System
Here’s the key difference: If the work is mostly small software features, conversations, blog posts, etc., you’ll benefit from Kanban over Scrum.
For this type of work, each card usually adds value on its own once completed. Delivered bride and groom photo sets, started advertising, and released bug fixes to production. Value delivered.
If the project consists of many tasks that need to be completed together to realize value, and/or there are many people involved in each part of the project, you may be better off using Scrum.
Scrum involves a more formal planning process called sprint planning, in which several user stories are grouped together into sprints with a limited time frame for completion.
How To Boost Your Productivity With A Kanban And Scrum Hybrid
Sprints typically last two to four weeks, and the sprint ends when the sprint time runs out. It may be short-lived, partial in scope, or absent at all, and may be considered a malfunction. In either case, the sprint ends and a run-back takes place (see step 10), then another sprint is planned and started for the same period.
In Scrum, you start with a user story, which is like a use case, but written from the user’s perspective.

Practical Kanban Board Examples
User stories are useful not only for software, but also for other project work and even continuous improvement.

“In order for our website to rank high in Google searches for our target market, we must constantly complete search engine optimization projects to build and maintain.”
This team uses Kanban because they constantly do small tasks to improve their SEO, and achieving a continuous workflow is what Kanban serves best. User stories are a way to remind them why their work matters.
What Is A Kanban Board?
Even if you don’t do Scrum in sprints, you may want to incorporate user story ideas into your Kanban or Scramban board. A well-written user story brings the team together, helps prioritize work ahead, and is a constant reminder of the primary goal.
You’ll typically see a single user story on a single row of a Kanban, Scrum, or Scrumban visual board, and all supporting tasks, projects, or units of work on a single row. These user story cards usually don’t move across the board. They will remain in the left-hand column called User History, and once completed, the blue task cards will move from the Pending and Completed columns.
You can create one row per user story. But sometimes you may have a very large Kanban board representing a large program with a portfolio of projects. In this case, the rows may represent different teams doing similar work. (see image below step #5 below).
If you’re doing Kanban or Scrumban, you’ll add all known tasks to your board. Create a tab for everything you know you need to do (to-dos) or haven’t started yet.

This is important because the main purpose of Kanban is to visually represent all tasks. You probably have several projects and tasks going on at the same time.
Spoiler alert: This is something you’ll change as you go through the process improvement part of a Kanban or Scrumban implementation.
This section is mostly about Kanban or Scrumban, but you can take some of these ideas into your own Scrum board.
If different types of resources are involved in the work, it is a good idea to split the In Process column to represent the stages of the process.
Anatomy Of The Toyota Kanban
Below is an example of a software Kanban board with analytics added (it appears before you get to the Ready to Go section because it’s needed to help with project sizing and prioritization). We also added design, testing, review, and approval phases. These columns represent the process steps managed by different disciplines (designers, programmers, quality control engineers, managers, etc.).
If you do this after adding the task cards to the board, you can move the process step cards to the correct column. You will now have a better understanding of where the work is. You will see which step in the process is a bottleneck because it will be more cards. In our example below, testing may be a limited resource for Team 1.
This section is more about Kanban than Scrum because Kanban focuses on the continuous flow of work through a process. Capacity must be managed to ensure that competing process steps do not block flow or create bottlenecks.
Based on our work on the Work In Process (WIP) visualization above, we want to apply a WIP limit to each process step. Here we set the maximum number of cards allowed in the In Process column for a particular process stage.
Creating Kanban Board In Tableau
In our example, we set it to #2 for development and #1 for testing. This can be estimated based on gut feeling, but is also related to the size of the work and the ability of the team to complete the work at that stage.
In order to properly visualize WIP and manage WIP limits, we need a place to store the completed cards in a single process step. We don’t want to “push” work to a lower stage where we may not have the capacity to start working on it.
In our example, when the programmers complete the development steps, they can move the card to “Ready for Testing” and place it below other cards that may be in that column to maintain flow and be first in and first out.
