Microsoft Excel has features that allow you to create flowcharts directly in your Excel spreadsheet, but this will require some initial formatting and manual adjustments to implement your shapes and text. Although we recommend saving time by using (skip to the next section to learn how!), we’ve outlined the steps for creating a flowchart from within Excel below.

Adding a grid to Excel will make it easier to create flowcharts and diagrams, but you know it’s not necessary, especially if you have experience with Excel. By formatting the grid, you change the column width so that it is the same size as the default row heights, which, in turn, makes the additional shapes more consistent and neat.

To change the width of your columns, click the “Select All” button to select all the cells in your spreadsheet. Right click on one of the highlighted columns and select “Column Width”. Enter a new width in the dialog box and click “OK”.
The default column width and row height in Excel is determined by your font selection. If you are using Calibri size 11 font, change the column width to 2.14 to format the grid. For other font options, you’ll need to check the row height before adjusting the column width. To do this, right-click on a row and select “Row Height”. Don’t change the height, just note the dimensions and, following the steps above, change the column width to match.
Selecting “Snap to Grid” changes the flowchart shapes and “snaps” to the nearest grid line, keeping the size consistent with the shapes. If you choose “Snap to Shape”, your shapes will snap to the edges of other nearby shapes within your flowchart.
To enable either feature, go to Page Layout > Alignment > Snap to Grid (or Snap to Shape).

Before creating your flowchart, quickly run through the formatting guidelines to follow. If you plan to print your flowchart or transfer it to Microsoft Word, for example, it must fit on one page—you’ll need to change the layout of your spreadsheet accordingly. .

Be careful when changing the theme on the Page Layout tab. Not only does this change fonts and color themes, but it also changes row height and column width, which can change the number of shapes that fit on a page.
There are two ways to add shapes to a flowchart in Excel: You can use SmartArt or Shapes within the Insert tab. SmartArt graphics are predefined groups of shapes that include styling and logic. Shapes are individual objects that can be added to a spreadsheet and edited as needed. Go to the Insert tab and select Smart Art. A dialog will appear prompting you to select a Smart Art graphic from the gallery. We recommend choosing graphics from the “Process” category because they look a lot like standard flowchart diagrams, but they don’t feel limited to any one category. When you select the SmartArt graphic you want to insert, a preview of that flowchart graphic appears in the right panel with an explanation of its logic. Note that not all options are classified as a flowchart shape.
To replace your outline with another SmartArt graphic, select it and press “Delete.” Then you can click SmartArt Graphics (Insert > SmartArt) and choose a different chart type. If you prefer to change the layout of the SmartArt graphic, select Shape(s) and select a new style from the Design tab within the ribbon menu. Continue adding flowchart shapes from the Design tab and connecting them with lines until your flowchart is complete. You may find that unlike the extensive shape library and shape import features, some SmartArt graphics do not support unlimited shape addition. For those that do, select the shape closest to where you want to add a new shape. You may need to select the entire chart, depending on the type you entered. Then choose an action from the Design tab, such as “Add shape”.

You can also create your own flowchart in Excel using the Shapes tool. To access Excel’s shape library, go to the Insert tab and click “Shapes.” A gallery will appear with a variety of basic shapes including lines, arrows and geometric shapes. Scroll down to find the flowchart section.
Click the flowchart shape you want to add, then drag the shape to size on the Excel sheet. You can easily click anywhere in the document to resize or move it.
Add text to your flowchart by clicking your flowchart icon, and then start typing. In SmartArt, text boxes and font sizes will automatically change based on how much text you add.
Edit your text by choosing font options from the ribbon home menu or the dialog box that appears next to the shapes.

To open the template library, click the down arrow next to “+Document.” Select a diagram category on the left — in this case, select “Flowchart” — or use the search bar to search for a specific type of template.
Double click the thumbnail image to use this template or single click to read more about it. If you decide not to use a template, just select “Blank Outline”.
To create a blank outline, click “+Document”. By default, the flowchart shape library is pinned to the shape menu on the left side of the editor. All the shapes you need for a flowchart can be found there — just drag and drop them onto your canvas.
How To Make A Flowchart In Excel
Click and drag between shapes to add connecting arrows. You can also add shapes by clicking on an existing shape and dragging your cursor as if connecting it to another shape. Instead of connecting the arrow to another shape, leave your click on an empty space. A small Shapes pop-up menu will appear—clicking on a flowchart shape from this menu will insert it at the end of the arrow.
Once you’ve added all your shapes and lines to your flowchart, it’s time to label them. Double-click a shape or line to add text or edit existing text. Edit font size, style, etc. using the toolbar at the top of the editor.
At this point, your flowchart is almost complete—it works exactly as it should, you just need to make it look good. If you started with a template, your outline will already have colors and fonts applied. The templates are fully customizable, so you can change any of them using the toolbar at the top of the editor.
