When I first started in the film industry as a 2nd Assistant Director (2nd AD), I was overwhelmed by the complexity of the process: call lists, production reports, time sheets, travel. The amount of paperwork was overwhelming, and knowing what each document should contain was elusive and stressful.

On top of this mountain of production documents is the call sheet. The invitation form is the master plan for each day of filming – everyone working on the production will receive an invitation, meaning every detail is seen and (hopefully) adhered to. A bad call sheet can literally derail your production, a 2nd AD nightmare.

Sometimes people get confused about the advanced schedule because they think it’s more on the same movie day, so be sure to include the date that the advanced schedule is for.

I often enjoy having the PA or other crew members write down the funny things crew/cast members said during the day. With funny quotes from the cast and crew as the quote of the day, encouraging everyone to check out the call list to see who was “chosen” to be quoted. It builds team camaraderie and helps keep spirits up on set.

Event Run Sheet: How To Use The Template

Production call lists contain everything you need to know when filming. Such as call times, crew calls, crew members, phone numbers and more. Are you ready to learn more? Let’s take it from above.

At the top of the call list, you’ll want to include the contact details (usually phone numbers) of the most important people on set. This is different with each shoot, but usually includes a First Assistant Director (1st AD), Second Assistant Director (2nd AD) and a Unit Production Manager (UPM).

Your invitation card should include the name of your production (in case people have forgotten). If you’re feeling modern, you can add a project logo or other iconography to make it stand out. And if you’re working on an episodic TV show, be sure to include the episode number and title.

Then you need to enter the general call time – the time when most of your crew should be on set. However, most movie call sheets contain unique call times. This is because certain departments may be needed earlier to set something up. Or some actors aren’t needed until later in the day. (Brad Pitt hates being denied his beauty dream.)

Finally, you may want to include special announcements for the day. It can be information about parking, radio channels for walkie-talkies and other little things.

Make sure the date is at the top. Don’t forget DEATH either. It’s surfer lingo for ‘day to day’ eg. Day 3 of 13.

For weather information, you should include high and low temperatures for the day, precipitation information, and sunrise and sunset times. It helps people know whether to pack an umbrella or sunscreen.

If your call letter is for a feature film, you may want to supplement it with some additional information. Film call lists often include a mini-schedule for the eventful day: roll call, meal breaks, and estimated turn-in times.

Aspm Prediction: Magic Vs. Heat

There’s no point in having a weather forecast if you don’t know where you’re going. Under Set Location, you may want to include the address where the crew will be based, rather than the actual filming location. If you have multiple locations, label them with a number: Location 1, Location 2, etc.

Depending on the size of your shoot, you’ll have people curling up in all kinds of vehicles – cars, trucks, trailers, those pesky electric scooters. On the day of the shoot, things go much more smoothly when everyone knows where to park, whether it’s parking or an alternative arrangement.

If you’re in the big leagues of video production, you need to pay a little more attention to handling truck and trailer streams. If you are shooting in populated areas, you may need to contact the city to close the streets near your location so that you can easily retrieve your equipment.

We hope you don’t need this information. But it’s better to be overprepared in case Pete Tong makes a mistake on the day of the shoot. It is especially important to know the nearest hospital if your film set is located
