I used to teach at a school that used portfolio assessment instead of grades, and experience having Great impact on me. We are required by law to hold stocks (note that this is not legal advice because rules and regulations vary) but we will keep them. Here are the reasons:
First of all, you need a binder to store things for each child. Use a binder. The same goes for doing this process several times during the school year. I especially like the Staples Better Binders. It is expensive, but the color is beautiful and durable. Our current binder is 1 inch and that’s enough. If you choose to store what we have for them, you will also need a protective box like this. A terrible waste of money, I know it seems like that, but if you plan to keep your stock for the long term (like me), it can help. Plus, it’s easy to see through and keeps it clean all the time.

Then you need a calendar that you can save. Or a really good memory. I have a stock day on my calendar every two months. Today’s objective is to improve your portfolio. I also use my calendar to write down all the trips and classes I attend. It becomes a very easy task, just hang it on the board in your kitchen. (And made by a great friend of the old picture book!)

Finally, you need a place to store your artwork, lost worksheets or writing until it’s time to review it. For me, the good thing about my system is that I don’t have to consider stock times. The list is the easiest part. I draw pictures from my calendar to remember every trip and tour. The summary of documents and progress for each subject is also very brief. 3 pages of evaluation are tucked into a protective sheet and placed in your portfolio. These mark the beginning of the evaluation period. Follow the goals and work examples. Then the next series follows, keeping everything in chronological order.
Then set some goals. This is a very easy process. I ask my children to have two to four goals for the next two months. They should be as realistic and specific as possible. If your goals aren’t measurable, it’s hard to know if you’ve achieved them. I remind children that they can set goals for reading, writing, math. , or other areas such as sports, games, friends, etc. Other goals they chose included playing soccer, reading a few books, and trying some new foods during the game.
I put in goals (as they get older they will have to do it themselves) and document that in the assessment sheet I write.
Then pull out a huge mess of artwork and lost paper. Place the current workbook. Children must go through and sift through everything until they choose a small pile of samples, usually 5-8. Put a checklist on the board showing the types of work that should be there, such as math pages, writing pages, reasoning pages, etc. Ideally, they choose a particularly memorable job. I chose my example as they chose theirs. I also chose the “best job” example. This is because it is the type of stock that we are collecting. But sometimes, like BalletBoy’s “Black Hole” photo, the choice becomes almost entirely personal.
Anything too large to fit in the disc protector will be cut out (if larger) or photographed and printed. Each sample comes in a protective sheet and binder. You can see a little sticking out above the seat protector.
After that, (and this is part of the saving grace), all other work, including completed notebooks, goes to the trash. Wow.
The last step in the portfolio process is the portfolio reading. Each child sat down with me for their first reading. I have read all the evaluations, including the list (but often skip the section). I’m talking about anything that comes up in the evaluation, like if I’m coping with something difficult, or if I’m really proud of my success.

At the end of the school year, stock binders go through this same process 5-6 times and usually are Ready to break. I also have other important things in my bag, such as a few cooperation books. and children’s science magazine. The stock was read to the end and placed on a shelf in the basement.
