For this post we printed the addresses on postcards. We’ll use the Four-a-type template, but these steps will work for any type of mail merge. With the Four-of-a-kind template, we’re ready to print four cards on one sheet!

First we will need to download the blank four type postcard template. Use the green “Download” button on the right side of the page to start the download.
Before starting the email merge, in this step you will also create your postcard design. To keep the focus on the mail merge for this post, we’ll skip the entire design step and move on to creating the mail merge.
In the main menu at the top of the window, go to: Tools > Posts and Catalogs > Mail Merge
Branding Consultant Postcard Template
A mail merge wizard will appear on the left side of your window (unless you have moved the wizard window to another location). This wizard will help guide you through your email merge. The first step is to choose if you already have a list to join or if you want to create a new one (or if you want to use your Outlook contacts).
For this example we already have a list to join. This is what the example list looks like in Excel:
Pretty simple, huh? After selecting a list, click the “Next” option at the bottom of the wizard. Now your wizard should display the field names you have available from your list. Notice that the field names are the same as every cell in the first row of our spreadsheet.
By simply double-clicking one of the field names, Microsoft Publisher® creates a text box for you and inserts the field name into it. Continue adding field names to this text box by double-clicking each one. You can add spaces and punctuation between and around field names.
Postcard Template Images
To see what the fields will look like, simply click outside the text box and the first recipient will appear. You can see other recipients using the navigation in the highlighted area of the image below.
Once you are satisfied with the arrangements in the field, you can export the document to a new document or print from the current one. For this example we will simply print from the current document.
Either select “Print…” from the top of the wizard or select File > Print (or ctrl + P if you like keyboard shortcuts!). To have four postcards on one sheet, be sure to select “Multiple Pages Per Sheet”.
Before you press the Print button, do a Print Preview to make sure you have all the correct settings.
