Here are step-by-step instructions for designing your own attorney letter in Microsoft Word, plus examples from readers who have done this.

If you want to make a letterhead template that is both easy to use and difficult to accidentally make a mistake, you need to know how the letterhead works in Microsoft Word. Entering all the names and addresses at the top of the document itself works fine as long as everyone using the template knows what they are doing. In my opinion, however, it is better to put this information out of harm’s way.

If you start your letter page template with a blank document (my recommendation), the first thing you will have to do is to configure the document so that the first page has a clear header from all subsequent pages.

The easiest way to do this is to double-click on the header (or you can go to the Insert tab and select Header>Blank) and then, in the context tab that appears (called “Header/Footer Tools”), check box next to Different Front Page. This will obviously ensure that only the first page of your letter will have the company name/logo, address etc. (or at least the big version of them).

While you’re on this context tab, you may want to make a decision about how far from the top of the chart you want your chart information to begin. By default, headings are 1/2 inch from the top edge of the paper. You may want to put your paper size information a little higher, but if you really plan to print the letters, it might be wise to check that your printer can deposit ink or toner that close to the edge of the paper.

The beauty of placing these elements in the header is that they remain safely separated from the body of the letter. You can always go back and change something in your card template by double-clicking in the header, but there’s no danger of accidentally backtracking your phone number at the top, for example.

How you put those items on top is entirely up to you. For example, Mark J. Kolber placed his paper elements in an array in the header, which is a really smart solution because it allows him to place the address and other elements precisely:

If you’re more comfortable with straight columns or tabs or some other technique, though, that works just fine too.

What many people don’t realize, however, is that header elements don’t always appear at the top. Many of the sharpest specimens we saw in the Lab had the company name and address information printed along the left side of the paper.

You can use a technique that involves inserting a text box in the header and specifying its vertical and horizontal position so that the information of the letter page appears on the first page at the left margin. Using the text box technique also allows you to embed a log file.

When I say “technical and adventurous”, I’m not kidding. Messing with the Windows Registry is not for the faint of heart, as a discovery can disable your computer. If you are not already comfortable with such tasks, it is better to have a professional do it for you.
