You might think that taking notes is trendy in the internet age. I can only send texts or emails, who should send me notes? But the truth is, there are still plenty of reasons to send a proper (informal) note, and there are rules to follow if you want to look professional. Here’s how to do it right:

Even if you can send information via email, using an informal memo format for email is a professional way to communicate.

Introduction To Memo Writing Notes & Task

All notes begin with the word “memo” or “memorandum”. If you use Microsoft Word, find a template that matches the style of your business or organization. Many offices use header files that are customized for their business. Next, you want to include the most important information at the top to make it easier for the reader to read.

Writing the main body of the note is quite simple. Say what needs to be said in as few words as possible. If you can use bold subheadings and lists, allow your readers to gather important information more quickly. Use the same rules and grammar as you do when writing online articles. Don’t use slang words like “gonna” or “wanna”. Do not use abbreviations such as “LOL” or “TTL”. It is too informal to make even an informal remark.

Use the spell checker in your Word program and make sure there are no typos or awkward expressions. Capitalize all names and places, but do not capitalize words in headings (except the first word).

Sign as a letter at the end of the document. Even if you put the “from” information in the header, it’s a good idea to un-sign it. Most notes are typed, so leave space for your signature. You don’t need to do this if you send it via email.

When I was working for a company in my early 20s, I took a lot of notes and actually wrote them down.
