Data Flow Diagrams extend DIAGRAM software with templates, examples and vector stencil libraries for drawing data flow diagrams (DFDs). Using shapes and lines, this diagram makes the complicated process of communication simple and direct. This step-by-step guide will explain how to create a Microsoft Word flowchart, from scratch and using a template.
While Microsoft Word offers some basic features that allow you to create basic flow charts, they are limited. Words just aren’t designed to create diagrams. Help you create simple and fast flowcharts. While we have provided all the steps to create a diagram in MS Word below, we recommend starting with saving time (skip to the next section to find out how!).
There are two ways to create a flowchart using only Microsoft Word: with SmartArt or the shape library. This tutorial will cover both methods, touching on some pros and cons of each method.
SmartArt graphics are a collection of pre-built shapes that are very basic and solid templates. If you want to create diagrams quickly and easily, SmartArt is a good choice. While using SmartArt is faster to create charts and diagrams, it lacks flexibility. Clip art will limit you to one or two pre-selected shapes.
How To Create A Flowchart In Microsoft Word?
Navigate to Insert > Graphics > SmartArt. A pop-up window will open. In the SmartArt window, select “Process” to see various flowchart options. Select the desired diagram and click “OK” to paste it into the document.
To add a shape, select all the SmartArt graphics and click “Add Shape.” (This button is located in the upper left corner of the toolbar.) Click and drag the shapes to move them around the diagram. When you do this, the arrow will adjust automatically.
If you want to change the shape in the diagram, right-click on the shape you want to change. In the tab that appears, hover the mouse over “Change shape” and select a new shape.
Your blueprint is almost done—all that’s left is to organize it. When you select a SmartArt diagram, two tabs will appear at the top right of the toolbar: “Smart Art Design” and “Format.” The SmartArt Design tab lets you change the diagram type, choose from several preset color schemes, and add shapes. For even more customization, use the Style tab to change the color, text color, and font of individual shapes.

Initialization diagrams using the shape library will take longer to create, but it gives you more flexibility to set up your diagram. To create a more traditional flowchart using processes and decision boxes, the shape library is the way to go, because SmartArt does not have a diagram with this feature built in.
Go to Insert > Illustration > Shapes. A drop-down menu will appear when you click on “Shapes.” Look for the shape labeled “Step Diagram.” Here you will find all the shapes you need to create flowcharts, such as process and decision boxes. Hovering over the form will show each function of the form.
Next, click and drag the mouse to draw a shape in your document. Repeat this step to add more shapes.
No flowchart is complete without arrows connecting your shapes to represent “flow”. To add lines, go to Insert > Illustration > Shapes. Arrows can be found in the section titled “Lines.”
How To Create A Microsoft Word Flowchart
Adding text to your shape is a little different than SmartArt. Right-click on the shape and click “Add text.” The cursor will appear in the middle of the form and you can start typing.
Adding text to lines and arrows requires a text box. Go to Insert > Text Box and click and drag the mouse to create a text box of the correct size, type to add text, move the text over the specified line.
The shape can be customized in the shape tab found in the top corner. You can change the fill color, line weight, opacity, font, font size, etc. to design the diagram you want.
You will see that there are many pros and cons to using Word as a flowcharting tool. When Microsoft Word allows it
