How (and Why) To Use A Call Sheet Template
The who and what of your project will appear at the top of the page – that is, the project title and the production company. You want to specify what kind of project it is and by which company it is produced.
You may be surprised how often small productions are asked to provide proof of certified production. And sometimes even a well-crafted subpoena will prove it.
A friend of mine who works as a production assistant told me the other day that he was working on a smaller production for a subscription network, which meant it was a boneless crew. The location was residential, so a neighbor called the local film office to investigate. A member of the film office was passing by when my friend was on the side of the road. They asked for proof of production and he simply showed the representative the call list and that was enough to reassure the film office.
That doesn’t mean it will work for everyone. As a rule, permits or other documents are required. But it also means the importance of a professional call.

Next is perhaps the most obvious feature; make sure the total crew call time looks HUGE and easy. The call time is usually framed in the center of the document. In the upper right corner of the document, you want to enter the date along with the production day from the expected number of scheduled days.
Then you want to tell the crew it’s breakfast time which means RTS or Ready for Service. Having a crew breakfast option is important as it motivates crew members to arrive on time and also gives them energy to get to lunch.
Below breakfast time you can repeat the total talk time, and below the shooting talk time. If you don’t know what a shot call is, here’s exactly what it sounds like. That’s when you plan to take the first photo of your day off. After that, you’ll want to mark your lunch time. So it will be clear how much time you have for the first half of the day.
It is also important to mention the weather of the day. It’s not always important for obvious reasons, but it also prepares crew members to wear and dress in certain conditions. There are apps you can use to check the weather, but nowadays you can find everything on Google. So Google will easily suffice.

You’ll want to include your nearest hospital, address, and phone number below the top line on the left or right of the document. It is important that this information is very clear and precise. This is where everyone turns if something goes wrong. If you have multiple moves to different locations, make sure you have a clearly defined nearest hospital for each location.
You can enter addresses, parking/transportation instructions, and base, if available, for locations on the same line. Think of it as a place to post general announcements. If you want to tell everyone “Do not share on social media, stories, photos/information about a certain activity without the prior consent of the producer(s)”, you will post it. You will also report “No guests” or similar announcements here.
I like to think of the middle of the application sheet as the bread and butter of the document. Here you have a good idea of what your day will look like. This section works like a table and can work with your groups. The title of this section reads:

If you look at the chart above, you will immediately see quite a lot of information. The middle part of the application sheet contains the information listed above. In the description of the Plan and the Scene, we have a clear title of the scene, which corresponds to the title of the scene in the script.
The short description should be short and to the point. Now, when it comes to stage numbers, they won’t always look complicated, but that’s a lesson, right? So “1, 3-4” means you’ll be shooting scene 1 and scenes 3 to 4. If we were shooting the second scene, it would sound like “1-4”.
In the next section, you’ll list the cast members by assigning a number to each. A fixed number of them will be placed in the actors section. Then it can be difficult if you don’t know what D/N means. “D” stands for day and “N” stands for night.
Now I filled it as N2 which means second night. Normally you should go with your best rating when numbering pages. How long is the scene on the page? More than half a page? Down a bit? You want to be as accurate as possible. Then, when you’ve collected all the pages you need to fill in a day, it doesn’t tilt one way or the other.

Finally a place. Just fill in where you drew the scene. Voila! You just completed a row. To continue, simply repeat the process for the remaining scenes. Count the number of pages at the end and that will be your problem for the day.
As with the rest of the document, the layout may vary depending on the application sheet, but regardless of this, each application form still contains the following information in a similar way. For our sample cast and crew list, I’ll try to keep it as simple as possible. You can refer to the diagram below.
The first column starts with a hash or a number. We count our talents here. Not because of some Orwellian phase of events that just makes us identify with cold, emotional numbers. But because it is the easiest and fastest way to fit all the information on a phone sheet so that it doesn’t look like a pile of meaningless letters.
Determining the names of the actors and characters, as well as the time of calling the talent for hair and makeup and the time of physical preparation for shooting is quite obvious. The situation indicates where the talent is in production. This can include “WS” for Work Started, “SWF” for Work Started and Finished – if someone is a Day Player – and “WF” for Work Completed. There is also a section with notes – snare drums, please – sheet music.
Production Call Sheet
Below the main talent section, create a section for background add-ons. You don’t need to be too specific in this section. In fact, you just need to enter background names and call times for each one.
Here you can sign off your entire crew for the day. This is best done if it is divided into departments, starting with department heads and descending in rank. These departments include production, continuity, camera, electrics, capture, sound, costumes, hair and makeup, art, casting, transportation, catering, etc.
In this section, you want to list crew names, titles, and call times. Most crew members, especially in production, are happy to confirm their exact call times throughout the day. I’ve also seen phone sheets with phone information on this, although it’s not necessary as the production office should already have this information.
NOTE: Before this section, you can reserve space for the needs of the department. This area may include special props, stunts and effects needed for the day, special makeup if any, or anything the departments need to remind them that the day is special.
