I don’t know about you all, but parent volunteers can be hard to manage. Honestly, they make my upper lip sweat a little. Over the years, I’ve figured out what works for me. I thought I’d throw a meatball style in there to make it.

All right, my dear friends. There in a nutshell. . . Parent volunteers at Casa de Dolling. If you have any questions or would like to share a little tip or trick you use with parenting assistants, I’d love to hear them! Thank you so much for taking the time to visit us today. Parent and family volunteers are key resources in any classroom. At the beginning of the year, many afternoons were spent talking with volunteers about expectations, plans and training. When you bring parent volunteers into your classroom, you need to take the time and effort to create routines and expectations for each of them so that they fit into your respectful classroom environment and become end-of-the-year assets. Using this approach will help your volunteers become an integral part of your classroom community.

There are three key factors to building a strong and effective volunteer presence in your classroom: communicating needs, coordinating schedules, and establishing tasks and expectations.

Make a list of each area that you want to support and that you know the parents in your classroom can manage successfully. Once you have your inevitably long list, cut it down to the most important parts that parents feel comfortable representing.

Include a brief description of each job listed so that parents and guardians understand exactly what they are looking for when applying for a position. When writing these descriptions, consider the adult’s perspective…they want to know exactly what is expected of them so they can choose the job they enjoy and will be most successful at.

Now, list times when parents are comfortable with you entering the classroom. Maybe you’re the kind of person who likes to have volunteers come in during lunch and recess so your class isn’t interrupted by opening doors. I invite my volunteers to join us after about 20 minutes of our break so that my students don’t miss any new content while working with the volunteers.

You can link your descriptions and dates to a form that parents can complete to share their interest in the volunteer position. Distribute this information to parents during the first week of school or back-to-school night so they can choose volunteer opportunities during the first days of school.

After the work you put into carefully communicating your needs, you’ll likely end up with a group of interested volunteers, each with their own interests and agendas. Yes, you should take those piles of messy papers and turn them into a neat year-round volunteer system.

I recommend sorting the responses you receive using a spreadsheet. Once you have everything in place, you can see which family members best fit your needs. Make an effort to assign a position to each volunteer so that those who are interested have the ability to contribute during the school year…this is a great way to start building strong home-school relationships.

In the spreadsheet, start by filling in the fields that require a weekly schedule, then the monthly requirements, and finally the quarterly requirements.

After you’ve quadruple-checked that no one is left, send each volunteer a personal email letting them know which slot they’ve chosen, along with the date and time they’re needed. Once you get their confirmation, schedule a training session with them.

Most teachers invite a volunteer into the classroom and almost immediately think to themselves, “What…did I…do?!” He experienced that moment of asking. I know you know what I mean.
