There are many birthday party checklists where you can find a summary of everything you need to do to plan the party and when you need to do it (i.e. 1 month in advance, 3 weeks in advance, 2 weeks in advance, etc.). do. ) My birthday party checklist is not one of them.

My problems with this approach is that there can be a lot of variation in planning a party and a structured schedule may not work for everyone.

For example, I started planning my oldest daughter’s first birthday party when she was about seven months old. I started planning my second daughter’s party two months before her party.

Note, you don’t need months to prepare for a party, you can do it in a few weeks if you want. My point here is that time can change for everyone.

Reserve all major vendors as soon as you know you want to use them. Many vendors can book months in advance. If you haven’t finalized your vendors yet, but have a few in mind, call them and ask them what their lead time is for booking the party.

Your goal should be to do as much as you can before the party and keep your prep day to a minimum. If you are cooking at home, many foods can be frozen in advance and frozen the night before the party.

If you’re planning a birthday party for a young child or have a guest list with a large number of young children, consider sleep and bedtime when planning your schedule.

For example, if you’re having a children’s party at night, many of your guests may need to leave (or not arrive) earlier than bedtime. In the early years, sleep time depends on the age of the child.

I used to swear I would always send paper invitations, but for the last few parties I’ve switched to online invitations and it’s so much easier to communicate with guests and track RSVPs!)

If you are having a lunch or dinner party, remember to serve lunch.

If you don’t want to serve food right away, consider having some appetizers when guests arrive.

Keep allergies in mind and make sure there are options for all your guests to enjoy.

If you are serving alcohol, plan on 2 drinks per guest (drinks) and 1 drink per hour during the first hour of your party. (Of course, if it is a children’s birthday party, you will have less use and you can overestimate your estimate.)

You want to have some kind of entertainment or fun activity at your birthday party to keep the guests busy and entertained.

Keep in mind the age and interests of your guests. For example, if you are planning a first birthday party, but most of the children attending are toddlers, you may want to include age-appropriate entertainment or activities.

Whether or not you open presents at the party is your choice. When opening gifts, be sure to write the name of the gift and the name of the gift giver to make it easy to write thank you cards.
