The second chart shows Cost Variation (CV) and Inventory Variation (SV). Below that CPI, SPI, estimated cost on completion and estimated completion date are all calculated automatically.

Cost Variance Keeps Projects Under Budget

Now, when someone asks how your project is going. Going beyond ‘good’ is the easy part with all the data you can digest at your fingertips. For most projects that span any length of time, earned value analysis is critical during projects that have multiple internal and external components. Can affect project scope, cost and schedule.

Earned value analysis gives the project manager or company insight into how the project is performing to date. This enables the person or persons to estimate the amount of value created in the project to date – which can be directly compared to the original plan and costs to date.

Without using earned value management as a project management tool, a company or team will struggle to measure project performance. Costs alone are not enough to understand project progress, because just because you’re ahead of schedule doesn’t mean you’re on budget, and it doesn’t affect the amount of work completed for that cost.

Although even the best value analysis has weaknesses, it is the most useful and comprehensive tool for project analysis.

The first part of doing an earned value analysis is gathering the information you need to calculate the earned value.

Once you have this information, you can do the next step of the earned value analysis template – which is actually calculating your proposed EV.

For example, a project that is 50% complete and had an original budget of $1,000,000 has an earned value of $500,000.

Once you have this earned value number, you can begin to analyze earned value, giving us a real insight into what this $500,000 number means to us.

Analyzing the cost factor of the project depends on comparing this earned value with the actual cost of the project to date. An easy way to look at it is to say, okay we’ve created this value in the project so far; How much did it cost us to create this value?

For us, we know our earned value is $500,000, and we know we’ve spent $450,000 so far, so:

The second part of earned value analysis is the schedule side of things, because it’s no good being under budget if we’re too far behind schedule.

As an example of what this would look like, we know we are 50% of the way through the project, but what if we were supposed to be 55% through the project?

After doing this basic earned value analysis, we know it’s under budget and behind schedule.

For example, we could invest some money and resources in the second half of the project to speed things up and stay on schedule. Based on our earned value analysis template we can spend less to make progress faster.

To get a better estimate of completion, you can use the numbers from the valuation and analysis work you performed to plan and forecast the rest of the project.

Several tasks are listed on the page with details of time, budget, scope of work, actual work done, etc.

Different tasks in a construction project are not the same. They differ in terms of effort, material, cost, length, etc.

The task weight feature helps capture the importance or value of a task in a single number. For example, a task (A) with a weight of 8 is worth four times more than another task (B) with a weight of 2.

But how you calculate these weighting factor numbers is a subjective decision. The main requirement is that these numbers should reflect the true value or importance of these works.

A commonly used approach is to use the actual billing value of a function – that’s what we’ve done here in the Earned Value Excel template.

The % progress in construction work is better based on the actual physical work done on site.

Many project managers use actual costs or days spent to determine actual progress. But this is a very flawed approach and assumes 100% efficiency.
